Communication Management

Plan Communication Management:

Mainly involves with How to address the stakeholders requirement for Communications.

  • How
  • How much
  • How much at what Frequency
Inadequate Communication causes the following and leads to misinterpretation and misunderstanding of communications
  • Delay in information delivery
  • Wrong person gets the information
  • Insufficient information is provided
Communication Dimensions:
Internal (within project) v/s External (other projects, organization, vendors, customer, public)
Formal (reports, minutes of meetings) v/s Informal (emails, ad-hoc discussions, memos)
Vertical (up and down the organizational hierarchy) v/s Horizontal (among peers)
Official (newsletter, annual report) v/s Unofficial (off the record when talking in a meeting or talking to press)
Written, Oral, Verbal

Communication Model:
Speaker -> Encode -> Transmit message -> Noise -> Listener ->Decode -> Acknowledge

Now the Listener becomes the speaker -> Encode -> Transmit Feedback message -> Noise -> Original speaker now is the Listener -> Decode -> Acknowledge

Causes for Noise in communications:
Distance, Unfamiliar technology, Cultural differences, Lack of background info, Volume of sound, Accent, Background noise
